How to Use Reporax
Step-by-step guide to your personal CRM & AI assistant.
1. What Reporax Is
Reporax (formerly Client Manager Pro) is a lightweight CRM and follow-up system for solo reps and small teams. It runs in your browser as a PWA, stores data locally, and uses Smoke for encrypted cloud backups.
- Capture and organize leads and clients.
- Track tasks, follow-ups, and appointments.
- Send messages quickly using templates.
- Use the AI Agent to create/update leads, tasks, and strategies.
2. Install & Sign In
- Open the Reporax URL in Chrome, Edge, Brave, or Safari.
- On the login screen, click Sign Up and create an account with your email and password.
- Optionally install as an app (PWA):
- Desktop: use the “Install app” icon in the browser bar.
- Mobile: use “Add to Home Screen” from the browser menu.
3. Main Navigation
The bottom navigation gives quick access to:
- Dashboard – high-level stats and overview.
- Add Client – intake form to add or edit a contact.
- Send Invite – Zoom/email/SMS invite generator.
- Clients+ – main client/lead dashboard.
- Tasks – kanban-style task board.
- Calendar – follow-ups and appointments.
- Training – Training Center modules and lessons.
- Help – this user manual.
- AI Agent – chat assistant (Pro).
- My Info – your rep/contact card.
- Settings – app, AI, and training settings.
4. Add Your First Client
- Tap Add Client.
- Fill in name, email, phone, category, priority, lead source, tags, and notes.
- Optionally set a follow-up date.
- Click Save. The client will appear in Clients+.
Tip: On first login, you can install demo leads so you can explore the app with sample data.
5. Manage Clients in Clients+
- Use search, category, and tag filters to find the right leads.
- Click a row to open the client drawer for notes, tasks, and actions.
- Use tags like
veteran, small_business, or demo to group leads.
6. Client Drawer: Notes, Tasks, & Actions
In the client drawer you can:
- Add notes and view the full note history.
- Create and complete tasks with due dates.
- Send email/SMS or call the client via the action buttons.
- (Pro) Apply email/SMS templates to pre-fill messages.
- (Pro) Record voice notes and optionally transcribe them.
7. Tasks, Follow-Ups & Calendar
- Use the Tasks screen to see today, overdue, and upcoming tasks.
- Use the Calendar screen to view follow-ups and appointments on a calendar.
- Tasks and events come from manual entries and (Pro) AI automations.
8. Client Invite (Zoom / Email / SMS)
- Open the Send Invite tab.
- Select an existing client or type their info.
- Choose meeting day and time and add a Zoom link.
- Click Generate & Send to build an email + SMS invite.
- (Pro) Use AI Generate or Templates to customize the message.
- Use Open Email or Open SMS to send via your device.
9. Templates & Scripts (Pro)
Templates live under Training → Templates & Scripts and can be used to:
- Pre-fill SMS messages in the client drawer and Client Invite.
- Pre-fill email drafts for invites and follow-ups.
- Seed AI prompts in the AI Agent chat.
Placeholders like {{first_name}}, {{your_name}}, and {{company}} are automatically filled when you apply a template.
10. AI Agent (Pro)
- Open the AI Agent tab to chat with your workspace assistant.
- Choose a mode (Full, Debug, Silent) and persona (e.g., Sales Copywriter).
- Optionally choose a Client Context so the AI focuses on one lead.
Example prompts:
- “Create a new lead for James Holloway, tag him ‘veteran’, and set priority to high.”
- “Update the lead Maria Sanchez to interested with a follow-up tomorrow at 10am.”
- “Review my leads and create follow-ups this week for the top 3.”
11. Training Center
Use the Training tab to step through modules like:
- Getting Started
- Contacts & Leads
- Follow-Ups & Tasks
- Appointments & Invites
- AI Agent Training
- Pro Features
- Templates Library
Each lesson explains the feature, links to resources, and lets you mark it complete.
12. Settings & Pro Plan
- General: default screen and demo data controls.
- AI: provider, models, plan status, AI time settings, and learning resources.
- Training: add your own images, videos, and links to modules.
- Speech: enable transcription and manage recordings (Pro).
Pro unlocks the AI Agent, templates, AI invite drafting, voice notes + STT, and more.
